What the numbers include, and what they don't
Copilot Chat costs nothing extra
Microsoft includes Copilot Chat for users with a Microsoft 365 business subscription, so only the people who need Copilot inside Word, Excel, PowerPoint, Outlook and Teams with company data need the paid license.
Some agents are billed by usage
Agents that use only instructions or public websites cost nothing extra. Agents that use company data such as SharePoint are billed by usage for Copilot Chat users.
Prices are list prices
Microsoft Copilot is $30 per user per month on an annual term; Copilot Business, for under 300 users, lists at $21 with an $18 promotion through December 31, 2026. Your agreement may differ.
Migration work is separate
Rebuilding assistants, moving files and training are quoted after the assessment, which also checks who really needs a paid license.
Six steps, nothing lost
Each step has an owner and a sign-off, so nothing quietly breaks along the way.
- AssessWe inventory who uses what: assistants, prompts, files, integrations and spend.
- MapEvery piece gets a home in Microsoft 365, or a reason to retire it.
- RebuildAssistants, connectors and prompt libraries are rebuilt and tested before anyone switches.
- PilotA small group works in the new tool first. We fix what they flag.
- TrainShort sessions built around your team's real tasks, the old way next to the new way.
- Switch overEveryone moves, chat history is archived, and old licenses are retired.
Questions we hear most
Is my data sent anywhere?
No. The calculator runs in your browser. Only an anonymous "calculator used" event with a rough team-size range is recorded in our analytics.
Why don't you show ChatGPT or Claude prices?
Plans and prices change often and depend on your agreement, so the calculator uses what you actually pay. Check your invoice or admin console.
What if Copilot comes out more expensive?
Then the case is control rather than cost: one AI tool inside Microsoft 365's security and compliance, no company data in personal accounts, and agents next to your files. The assessment shows both sides honestly.
Does everyone need a paid Copilot license?
No. Copilot Chat is included with Microsoft 365 business plans. We map who needs the paid Microsoft Copilot license during the assessment.
